PIPC Patronage

Regulations for granting patronage or participation in the honorary committee by the Polish Chamber of Chemical Industry

Article 1. General Rules

These Regulations regulate the requirements and procedure for granting patronage or participation by the Polish Chamber of Chemical Industry (hereinafter referred to as PIPC) in honorary, scientific, organizational and other committees.

Article 2. Detailed Rules

PIPC awards the Patronage in recognition of events/publishing related thematically to the mission statement and PIPC operational area, characterized by high substantive and organizational levels.

With regard to cyclical events/publishing, it is necessary to apply for a Patronage for each edition of a given event/publishing house.

Patronage granting does not mean a PIPC declaration of financial or organizational support for a given event/publishing house.

The PIPC Patronage is granted free of charge.

If PIPC has granted its Patronage, such information is always published on the PIPC website.

In addition, PIPC reserves the right (in case of a patronage extended to a commercial event/publishing house) to negotiate more favourable conditions of participation in this event for PIPC members.

If the Patronage has been granted, the organizer is obliged in particular to:

advise the co-organizers and participants of the undertaking about Patronage granted by PIPC,

fulfil all partnership commitments as specified in the application.

fulfil additional partnership commitments under separate arrangements to be agreed jointly with the PIPC representatives

The scope of detailed patronage services provided by the PIPC will be determined each time on the basis of an application sent by the Organizer.

PIPC reserves the right to adapt its own services to its current capabilities.

Patronage granting does not imply the right to use PIPC name and logo in any manner.

It is forbidden to use the information about the Patronage, as well as PIPC name and logo in any other context than the one related to the organization and promotion of the event or to the publishing house.

The use of the PIPC name and logo in any other manner is possible only after obtaining a written consent from PIPC.

The consent referred to in the preceding sentence may be expressed by PIPC via an electronic mail message.

Article 3. Patronage granting procedure

The application for the patronage of the Polish Chamber of Chemical Industry shall be filed by the Organizer not later than 14 days before the event start date.

Under extraordinary circumstances the organizer may apply with the PIPC within less than 14 days, however, each time a written rationale is required.

In the case of publishing houses, the application has to be filed within timeframe that allows PIPC to place its logotype on the publications.

The application form referred to in point 1, representing an appendix to these Regulations, is available on the PIPC website.

The completed application form should be accompanied by the programme and the project/event regulations.

The completed Application along with its attachments should be sent at the following address:

Filling in the application form referred to in subpar. 2 of this paragraph means that the Organiser has read and accepted the contents of the Regulations.

Information about decision of the President of the PIPC Management Board, or a person authorized by the President to represent PIPC in this area, to grant or to refuse to grant the Patronage, is passed on to the Organizer in writing or by e-mail, within 7 days from the date of application filing.

In justified cases, the Polish Chamber of Chemical Industry reserves the right to invalidate the decision on granting the Patronage or to submit a statement on resignation from participation in the honorary, scientific and organizational committee, of which the organizer shall be immediately notified in writing or by e-mail.

Article 4.

Information clause concerning the processing of personal data to enable the Polish Chamber of Chemical Industry to extend patronage over the event/publishing house.

Acting on behalf of the Polish Chamber of Chemical Industry with its registered office in Warsaw at ul. Śniadeckich 17 (hereinafter referred to as PIPC), I would like to inform that:

The Controller of your personal data is PIPC, hereinafter referred to as the Controller, in the name and on behalf of whom acts the President of the Management Board of PIPC, ph. +48 22 828 75 06;

Your personal data will be processed by PIPC to enable its patronage over the organised event/publishing house, including reporting, control and archival purposes;

Your personal data will be made available to the Controller's employees and associates, as well as to third parties including supervisory and control bodies, to the extent necessary for the implementation of reporting, control and archival goals,

The grounds for processing your personal data represent Article 23, par. 1, subpar. 5) of the Act of 29 August 1997

– on Personal Data Protection (uniform text Journal of Laws of 2016, item 922, as amended), hereinafter referred to as the Act, and Article 6(1)(f) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation – GDPR), OJ. L No. 119, p. 1 (from the effective date of the aforementioned regulation, i.e. from 25 May 2018), hereinafter referred to as 'GDPR', which means that your personal data will be processed on the basis of legitimate interests pursued by the Controller, i.e. in connection with the need for the Controller to ensure proper fulfilment of the separately agreed duties of the Patron;

The provision of personal data by you is necessary for registration and processing of the Application for patronage by PIPC, which means that your refusal to provide personal data will be tantamount to voluntary resignation from granting patronage by PIPC;

To the extent, under the terms and conditions set forth in the Act and GDPR, you are entitled to:

demand from the Controller the access to his personal data, their correction, deletion or limitation of personal data processing,

filing a protest against such processing,

data transfer,

file a complaint with the supervisory body, if you believe that the processing of your personal data is in breach with the GDPR;

Your personal data is not subject to automated decision making, including profiling;

Your personal data will be stored for the period of the Controller's performance of tasks consisting in the promotion of the results and informing about the patronage of the event/publishing house by PIPC, as well as the fulfilment of reporting, control and archival obligations or until the lapse of limitation period for claims related to the patronage (whichever of these periods expires later).
